Design Studio Manager/Assistant to Creative Director
Elixir Design is seeking a dynamic, full-time Studio Manager/Assistant to the Creative Director/Owner.
As Studio Manager, you are the face of the company; greeting visitors and clients, answering phones, directing calls and email inquiries. You will be responsible for the general order and upkeep of the office. In this position you will be in charge of: resolving building issues, managing maintenance services (housekeepers, plumbers, etc.), ordering office supplies, overseeing shipping accounts (FedEx, UPS, messenger services, post office), maintaining portfolio files, updating and purchasing technology needs (including assisting our off-site IT representative with Internet issues, printer, and server maintenance and archiving), as well as managing digital subscriptions and accounts such as Dropbox, Creative Cloud, etc.
You will also be responsible for preparing the office and staff for meetings and presentations, including conference room scheduling, helping prepare presentation materials, and connecting displays. Dinner reservations, as well as occasional party planning, may also be necessary.
As Assistant to the Creative Director/Owner, you will oversee all scheduling matters and maintenance of a very active inbox, so written skills and personal responsibility are necessary. You must have excellent time management skills and would work with the Creative Director/Owner as a team. Additional duties include tracking time, receipts, scheduling, making travel arrangements, assisting on various personal projects, and walking a couple of fluffy office dogs now and then.
Our ideal candidate:
Must have a minimum of 5 years experience as a personal administrative assistant in a deadline-based, detail intensive environment.
Must possess great communication skills, including the ability to write well and speak articulately.
Must be a career administrative person. If you see this as a near-term, stepping stone position, or a path to a design role, this is not the job for you.
Must have experience in a design-based service business so as to anticipate issues before they arise.
Must be inherently assertive, confident, and poised.
Must have a drive towards visual order and tidiness.
Lastly, experience with social media would be wonderful, but this is not a requirement.
